Context
The World Organisation for Animal Health (OIE) comprises 182 Member Countries and has offices in all continents through 12 (Sub-) Regional Representations. The OIE aims to improve animal health, veterinary public health and animal welfare worldwide, as well as transparency of the global animal disease situation.
The OIE develops and publishes OIE International standards for the improvement of animal health and welfare, and to facilitate safe trade in animals and animal products. A new edition of the Terrestrial Code and Aquatic Code is published every year to reflect the new and revised texts adopted by the World Assembly of Delegates at the OIE General Session. These standards evolve over time, with amendments to some chapters made more frequently than others. At present, only the latest editions of the two Codes are available on the OIE website. Having a structured archive containing all past editions combined with a record of the texts adopted each year, would facilitate the work of OIE staff.
The OIE is looking for a motivated intern to develop a centralised repository for all editions of the Terrestrial Code and Aquatic Code, including a record of changes between editions.
Positioning and reporting
The intern will work under the guidance of the Deputy Head of the Standards Department and in collaboration with relevant staff within the Documentation Unit.
Internship role and activities
The Intern will participate in the activities directed by the Deputy Head specifically to:
-Review the regulatory basis for the adoption of OIE Standards and consider the existing internal processes for the publication and archiving of these standards.
-Identify key steps of the process that should be recorded and the key documents to be kept.
-Develop an archiving system for editions of the Terrestrial Code (and Aquatic Code if time allows) and a record of changes (chapter level) between editions that could be accessed and used by OIE staff.
-Propose changes to the current processes that could improve the recording and traceability of versions;
-Draft a standard operating procedure to update and maintain the archive over time.
Upon completion of the internship, produce a final report, summarising activities undertaken, main achievements and follow-up actions required, and give a presentation to the relevant departments of the OIE
Required Skills and Experience
Education
Candidates must meet one of the following educational requirements:
– Currently enrolled in a graduate academic programme;
– Or have graduated no longer than 1 year from a graduate programme or equivalent studies.
– Field of study: Law or regulatory affairs
Requirements Technical skills
Working and reporting proficiency in English;
Excellent communication skills (verbal, written, interpersonal);
Good working knowledge of Microsoft Office.
Additional language skills
Reading proficiency in French and Spanish.
Technical Competencies
Some degree of experience in document management;Interest and training in international multilateral organisations;
Additional documentation skills and experience would be beneficial.
Behavioural Competencies
Interested in the work and mandate of the OIE;
Courtesy, tact and ability to establish and maintain good working relations in a multinational and multicultural environment;
‘Can do’ attitude and ability to work within short deadlines;
Ability to work well as part of a team.Adaptable and flexible.
Internship conditions
The OIE will provide a stipend in the amount of 659.10€ net monthly for full time work;
This is a full-time internship based at OIE Headquarters in Paris, France;
The intern may be able to work remotely as per the OIE Teleworking policy;
The maximum internship duration is 6 months (ideally from October 2021 to March 2022)
The intern must provide proof of enrolment in a health insurance plan.
